Phone- and Chromebook-first teams, or companies already used to Gmail that don't need advanced Excel.
Overview
What Google Workspace is
Google Workspace is the productivity suite from Google, part of Alphabet, headquartered in Mountain View, California, in the United States. It is Gmail on your own company domain (such as [email protected]) plus Drive, Docs, Sheets, Slides, Meet, Chat and Calendar. Everything runs in the browser or the mobile apps, there is no Office to install, and several people can edit the same document at once.
The plans you will meet
- Business Starter: Gmail, Meet and 30 GB of storage per user, pooled across the organization.
- Business Standard: 2 TB per user, Meet recording, and Gemini inside Docs, Sheets and Drive.
- Business Plus: 5 TB per user, Google Vault for retaining and searching old mail, and advanced device management.
- Enterprise: for organizations above 300 people or needing extra security controls such as data loss prevention (DLP).
All three Business plans are capped at 300 users. In early 2025 Google bundled Gemini AI into every business plan and raised prices at the same time, so if you are renewing an old contract, check the new terms.
Who it suits
Google Workspace suits phone-first teams, start-ups, schools and organizations whose staff already know Gmail. It is easy to run: no servers and no Office installs to patch. The thing to think about first is the finance team. If they rely on Excel macros, complex pivots or files that banks send in Excel format, many organizations buy Microsoft Office for just those people.
Strengths
- No servers and no desktop software to install. An organization without full-time IT can still run it from the Admin Console.
- Live co-editing in Docs and Sheets works well even over mobile data, which suits teams spread across provinces or out on site.
- Gmail's spam and phishing filtering is on from day one, and 2-Step Verification can be enforced for the whole organization from the Admin Console.
- It works well with Chromebooks and Android, often the low-cost choice for schools and field staff.
Things to know before choosing
- Sheets does not replace Excel for everything: VBA macros, Power Query and very large files often behave differently. Test the finance team's real files before you move.
- Google Vault, for policy-based mail retention, comes only with Business Plus and above. If you must keep email for years, don't choose Starter or Standard.
- Everything depends on the internet and data sits outside Laos. If staff delete Drive files or an account is compromised, recovery has a time limit. Keep a separate Workspace backup.
- Leaving later is possible but takes work: Docs and Sheets must be converted to Word and Excel, and some formatting may change.
Using it in Laos
Google Workspace is common among start-ups, private schools, travel companies and growing family businesses in Laos. Licences are bought through regional Google Workspace resellers, or paid to Google directly by card.
What we see during migrations:
- Old mail on cheap hosting: Google's tools can move old mail into Gmail, but plan the MX switch for a quiet day.
- .la domains: you need access to the domain's DNS to verify it and set up SPF, DKIM and DMARC. Many companies do not know who holds the domain login.
- Weak internet in the provinces: turn on offline Gmail and Docs in Chrome for staff who travel.
- Lao language: Docs and Gmail display and type Lao well.
The Admin Console is easy to learn, and general IT technicians in Laos pick it up quickly.
Compared with alternatives
Microsoft 365 fits better when finance and management live in Excel and Outlook every day, or when you want to manage Windows PCs with Intune and get EDR in the same licence (Business Premium). For an extra email filtering layer on top of Gmail, Trend Micro Email Security is one option.

FAQ
Which plan suits a 25-person company?
Usually Business Standard: enough storage for files, plus meeting recording. Choose Business Plus if you must retain email for years with Vault or need tighter control of staff phones. You can mix plans in one tenant according to each person's role.
If we move from our old email hosting to Gmail, will old mail be lost?
Not if it is done in order. We copy old mail into Gmail first, switch MX on the agreed day, then copy anything that arrived in between. Don't cancel the old hosting until every mailbox has been checked.
Does Gemini use our company data to train AI?
Google Workspace business terms state that your data is not used to train AI models outside your own Workspace. Admins can still switch Gemini on or off for specific groups of staff if you want more control.
